Volunteer and Programs Manager

Houston Arboretum and Nature Center

Reports To: Executive Director

Employment Status: Full-time

Salary:  Full time salary commensurate with experience with excellent benefits

Summary:
The Volunteer Manager portion of responsibilities manages all aspects of the Arboretum’s volunteer program, including recruitment, training, scheduling and retention of volunteers.  In addition, the Program Management duties will include creative and administrative oversight for all adult educational programs. The Volunteer & Programs Manager will work with the Arboretum team to develop and implement new program offerings as well as recruit volunteers to help administer the programs. The Volunteer & Programs Manager works closely with all members of the Arboretum team.  This position will normally work 40 hour/wk but will be expected to vary those hours to meet the needs of the Arboretum.  Some evening and weekends will be required.

Volunteer Responsibilities:

  • Recruit, interview and place applicants for volunteer work at the Arboretum
  • Work with Communications Director to publicize opportunities for volunteers
  • Conduct and arrange for volunteer orientation and training
  • Create a volunteer database
  • Coordinate all volunteer activity for both education and conservation staff
  • Develop and manage volunteer policies, procedures, and standards of volunteer service
  • Coordinate large volunteer events, such as corporate work days
  • Organize and participate in volunteer recognition programs ands special events
  • Develop/maintain relationships w/ other organizations such as Junior League of Houston and Volunteer Houston
  • Provide ongoing support for volunteers
  • Act as a single point of contact for communications between staff and volunteers
  • Create and distribute various communications related to volunteer news and facilitate distribution of information
  • Grow the current volunteer group from 200 active members to 300
  • Implement a volunteer recognition program

Program Manager Responsibilities

  • Plan, execute and finalize all adult programs including coordination with instructors and 3rd party contractors
  • Communicate with instructors and maintain instructor payment schedule
  • Provide supervision on site when programs are taking place
  • Manage day to day activities of programs, which involves creating and managing program content and initiatives
  • Participate in planning, developing, evaluating, and implementing successful programs
  • Evaluate program offerings and instructors
  • Work with the Marketing/PR staff and consultants to create promotional material and increase traffic to programs

Qualifications:

  • A bachelors degree
  • At least 4 years experience in management or supervisory role in a non-profit environment
  • Experience working with and managing volunteers required

Position Responsibilities:
Daily Program Coordination

  • Daily program coordination (design, facilitate, evaluate, etc.) for the following volunteer program opportunities: core
  • volunteers, volunteer appreciation, volunteer training, etc.
  • Create program recommendations and develop new program materials
  • Responsible for implementing marketing strategies and driving active recruitment and retention of quality volunteers;
  • matching volunteer skills to organizational need to enhance the quality of the Butterfly Pavilion’s visitor experience
  • Act as liaison between the volunteer program and other departments to discover, create and fill volunteer needs to best
  • support the Butterfly Pavilion’s mission
  • Network and develop relationships with other community volunteer programs to support program needs

 

Daily Volunteer Oversight

  • Coordinate efforts with department heads to maintain scheduling, training and daily oversight of active volunteers
  • Coordinate problem solving efforts to effectively and quickly address any volunteer related staffing issues

 

Strategic Planning

  • Responsible for tracking program related outputs and achieving goals tied to outputs
  • Contribute to Programs Team goal-oriented strategic planning and budgeting process
  • Collect and report trending data for volunteer program for analysis and evaluation

 

Instruction

  • Teach a variety of volunteer educational programs including trainings, field trips, etc.

Other Functions

Salary and Benefits:
The benefits that the Butterfly Pavilion offers are generous. They include ten paid holidays, sick leave and a 401K plan. The Pavilion provides twelve days of vacation per year (after the first year), and this number increases at the beginning of the fifth year and again at the ten-year mark. Senior Manager, Volunteers and Training

As part of The Tech Museum’s Operation team, the Senior Manager of Volunteers and Training is a full time, exempt position reporting to the Vice President of Operations. This main responsibilities of this position include the oversight and management of volunteer staffing for the museum including interviewing, training, and scheduling as well as managing the utilization, recognition and retention programs of the department. In addition, the Senior Manager also oversees the general training and development programs for both paid staff and volunteers including orientations, guest service training and interpretation training. This position is the objective source to handle volunteer needs, suggestions and relations for the institution and is the face of the institution for hundreds of volunteers.

Key Outcomes and Responsibilities:

• Through recruitment, placement and utilization strategy, fulfill all volunteer requests from both guest-facing and back-of-house departments to ensure proper staffing levels and guest satisfaction.
• By partnering with both the Volunteer Services Assistant and the Vice President of Operations, create a department budget and an annual recruitment plan to achieve volunteer acquisition goals for each fiscal year that matches both annual and strategic objectives of the institution.
• Manage the ongoing communication process with volunteers through emails, electronic newsletters, briefing meetings and events.
• By partnering with both the Operations Training Supervisor and the Vice President of Operations, create an annual training calendar that allows for timely orientation and development of both staff and volunteers from orientation to guest service training.
• Manage and develop both the hourly Volunteer Services Assistant and the hourly Operations Training Supervisor positions to achieve department goals.
• By working some weekend days, work closely with both weekday and weekend volunteers, listen to their needs and work with other departments to solve issues.
• Ensure that departments utilizing volunteers are appropriately ready to receive volunteers by following up with formal volunteer requests with management peers.
• By providing direction and guidance to the Volunteer Services Assistant, ensure that the Volgistics volunteer data base is kept up-to-date and well utilized for scheduling and reports.
• Through tracking mechanisms and other ongoing development, source specific volunteer expertise for specific museum needs and proper utilization of volunteers.
• Plan, coordinate and participate in the Volunteer Advisory Board (VAB) on a quarterly basis and act as the staff representative for feedback follow up.
• In conjunction with the VAB Chairperson and through the direction of the Vice President of Operations, oversee the progress of the VAB Committees including training, mentoring, annual scholarships, community outreach, safety, volunteer events, field trips, and specialized recruitment.
• Ensure proper procedures are timely followed to place an annual Volunteer Representative on the museum’s Board of Directors.
• Act as the objective management outlet for volunteer questions, suggestions and issues; follow up with the appropriate department for resolution.
• Plan and execute the annual Volunteer Recognition Event and Recognition Week activities through the involvement of all departments.
• Oversee the writing, publishing and distribution of weekly Communication Notes, schedules and Adobe parking lists to ensure proper operational flow.
• Coordinate own volunteer assistance for completion of daily administrative duties in support of the position.
• Coordinate and rotate hosting the twice-daily Volunteer Briefings prior to each volunteer shift.
• Through weekly scheduling of volunteers, ensure all volunteer staffing requisitions are filled, including, but not limited to daily operational volunteers in the Galleries, Membership, Guest Experiences, IMAX, The Tech Museum Ambassador outreach program and office support volunteers n the McCabe business offices.
• Manage the McCabe Office volunteers to fulfill the requirements of the Community Relations ticket fulfillment program and other administrative department needs.
• Manage ongoing recognition and retention plans including hourly recognition badges and mentorship pins.
• Act as the face of the museum’s volunteer program with the Board, other staff, outside institutions and media.
• Act as the Manager of the Museum (MOM) twice per month with responsibilities for the daily operation of the museum on those days.
• Complete other volunteer management duties as assigned.

Job Certifications: • Bachelors’ degree or equivalent education and experience. • Background in volunteer management, staff or volunteer recruitment, staff utilization and/or employee relations. • Ability to create strategic plans that set annual goals and tactics for achievement. • Proven skill at creating, maintaining and balancing a budget. • Excellent interpersonal and communication (both oral and written) skills. • Ability to speak in front of large audiences of diverse groups. • Proven ability to work with a diverse group of people. • Demonstrated ability to multi-task and meet deadlines. • Computer literacy including Microsoft Office, word processing and database experience. • Ability to supervise volunteers on a project basis. • Ability to manage staff so they are retained and individually successful. • Availability and willingness to work at least one weekend day per month and also work some occasional evenings and holidays as the needs of the position dictate. • Ability to work independently and meet deadlines. • Prior experience in training museum docents or volunteers in an informal educational setting highly desirable. • Understanding of interviewing laws and process preferred. • Bilingual a plus. • Familiarity with Volgistics HRIS system or similar employee-tracking database system a plus. • Prior volunteer experience preferred. Docent Program Coordinator

Full-time Position
The Docent Program Coordinator is responsible for leading and managing all aspects of GRAM’s docent program.  This position includes planning docent training sessions around key issues in gallery teaching, and developing materials, information, and a curriculum of studies for docents. The Docent Program Coordinator will also lead ongoing program expansion that will encompass adding more volunteer docents and developing an enhanced menu of tour programs.

Candidate must have proven leadership and organization skills, be an inspiring public speaker, and  possess a Bachelor’s degree (MA preferred) in art history or art education and be knowledgeable of current trends in gallery teaching strategies.  They must also be proficient in Microsoft Office software, familiar with social media, and be able to work a flexible full-time time schedule, including nights and weekends.

Looking for volunteer docents for an upcoming exhibition featuring one of the largest collections of artifacts from Biblical Times, including the famed Dead Sea Scrolls. Students and those interested in archaeology, biblical history, the Hellenistic period, the Byzantine era, Israel, world history and religion are especially encouraged to apply.  College credit can be given.  Exhibit is open during the day Tuesday – Sunday.  Schedule is flexible.
